How to Quickly Renumber Viewports in Revit

Kobi Toolkit for Revit, Revit

If you’ve worked on a large Revit project, you’ve probably run into this at some point: the sheet layout looks perfect, but the viewport numbers make no logical sense.

That’s because Revit assigns viewport numbers in the order views were placed on the sheet. After a few layout changes, the Detail Numbers shown on the sheet often no longer match the visual order of the views. A detail on the far left might end up numbered “7”, while the one next to it is “3”.

The drawing still works, but the logic is gone. Fixing the numbering manually becomes a time-consuming task, especially because Revit does not allow two viewports to share the same Detail Number. Renaming them often requires temporary values just to free up the number you actually want to use.

What should be a quick cleanup can easily turn into a slow, repetitive task.

How to Rename Viewports in Revit Efficiently

Instead of manually renumbering viewports on every sheet, you can save hours of repetitive work by using:

  • Renumber Views on Sheets or
  • Renumber Viewports by location

Both tools are part of Kobi Toolkit for Revit. You can download a 15-day free trial here. (no credit card required)

With just a few clicks, you can achieve consistent and organized detail numbers.

Renumber Views on Sheets

The Renumber Views on Sheets tool lets you define your numbering order (alphabetical or numeric), along with set format, prefix and suffix.

To access the tool, go to Kobi Toolkit tab. Navigate to the Annotate panel and open the Renumber drop-down menu to select Renumber Views on Sheets.

A new dialog box opens, where you can define your naming style.

Once your settings are defined, simply click the viewports in the order in which you want to rename them. You can even force overwrite to swap Mark parameters.

Renumber Viewport by Location

Another fast way to renumber viewports is based on their location on the sheet.

Renumber Viewport by Location automatically renumbers viewports according to their position on the sheet. The numbering layout is controlled by defining the number of horizontal and vertical regions.

The sheet is divided into invisible grid using the specified number of rows and columns. Viewports are numbered starting from the bottom-left region (A1), continuing to the right (A2, A3, …) and then upwards (B1, C1, …).

If multiple viewports fall within the same grid cell, they receive a suffix such as A1-1, A1-2, A1-3.

The tool renumbers viewports so that the Detail Number parameter matches the visual order on the sheet.

The bottom-left corner of each viewport is used to determine its position on the sheet.

How to Use Renumber Viewports by Location

Open the sheet you want to renumber.

Go to the Kobi Toolkit tab > Annotate panel > Renumber > Renumber Viewports by Location.

Define the number of columns and rows, then click OK.

Key Benefits

With either of these tools, you can:

  • Eliminate tedious manual renaming across sheet sets
  • Maintain logical viewport numbering
  • Reduce errors and naming conflicts
  • Save hours of repetitive work
  • Keep drawings clear and organized

Keeping sheets organized should not require manual renaming every time a layout changes. With Renumber Views on Sheets and Renumber Viewports by Location, you can keep numbering clear, logical, and consistent in just a few clicks.

If you regularly manage drawing sets in Revit, this is a simple improvement that can save hours over the course of a project.

Try it yourself. Download your free 15-day trial of Kobi Toolkit for Revit here or check other renumbering tools.
